bEST MFP Manager

To create an informative list of your networked MFPs and their associated Applications, click on Tools > bEST MFP Management. When the manager opens, click on the star, or the Add a new MFP link , and enter the IP address of a printer/scanner, to query for the MFP and a list of its installed applications.

Make sure the MFP is on and the IP address is correct. If the query gets stuck processing, quit and double-check your MFP information. If the query is successful in finding the MFP, the MFP has Open API available, and the iOption Kit installed, the results will look similar to the screen below. Note the options to Register Browsers or Authentication next to the stars above the application list.

Note: Many Konica Minolta MFPs, with the LK-101 iOption License Kit installed, offer web access and allow you to run quick tasks, directly from the control panel. The i-Option Kit must be installed, and is available from Konica Minolta for the C353/C253/C203 Series, C550, C650, C652, the bizhub 421 and 601, and others. MFPs offering the i-Option also require Firmware Level 3, Version 88.

If the MFP you query supports Open API, but does not have the iOption Kit installed, the screen will look similar to the one below. Note the lack of options to Register a Browser or Authentication.


If the MFP is found, but does not support Open API (such as the c350), a screen similar to this is displayed.



Register Browser (website) to MFP

If you have successfully queried an MFP with Open API, you can use the best MFP Management tool to add direct access to a website URL at the MFP panel (if the user has appropriate permissions). Click on the Register Browser link to display the fields to be entered.


(The example shown above is adding Google to the MFP Panel. )


Application Name: Name of the application or URL you want to be able to browse to from the MFP.
URL to Open: The web site address of the site.
MFP Admin Password: You must enter the correct MFP Admin password to add a URL to the MFP.

If successful, the Application name is added to the list (as shown below).

In the example above, if a Role has the correct privileges, a user with that Role will be able to access the Google website directly from the MFP Panel.

Register MFP Authentication in DocuBreeze

The bEST MFP Manager feature allows an Administrator to Register MFP Authentication using the DocuBreeze application. Click Register Authentication to open the blue section shown here.

In the Communicate with this server at field, enter the IP Address of the DocuBreeze server.
Enter the MFP Admin Password for the MFP (not the server). If it was accessed before, the password will be populated for you.

Under Options, mark the checkboxes according to what you want:

Click the Register button (bottom right) to start relaying authentication data. After processing, which will take a minute or so, a message under Authentication Status confirms that authentication is working.

Note in the example above, with authentication turned on, there is no longer a Register Authentication link above the list of applications, next to Register Browser. Click on the Version link to open a dialog identifying all of the functions supported for the MFP. An example is shown below.


Additional Settings for MFP Used as a Distribution Point

Important: When using an MFP as a Distribution Point, the Admin Settings on the MFP panel need to be set to allow "Print without Authentication."

If you have set up Authentication on an MFP being used as a Distribution Point, you need to choose another important setting to allow other users to print to the MFP. Under Administrator Settings, go to the User Authentication/Account Tracking screen and choose Print Without Authentication.

When the screen displays, choose Allow and then click OK.


Edit MFP Authentication Options

To Edit the MFP Authentication options chosen when authentication was registered, you need to unregister the MFP, by deleting it using the trashcan icon (shown again below for clarity). To avoid this, you may want to make a note of the options you select when registering an MFP for authentication. Once any Edits have been made, you have to re-register the MFP for authentication.

The snapshot below is shown to remind you where the options were selected.

To stop/pause the authentication relay, double-click on the Authentication Status field. For example; you might want to temporarily pause authentication so a big job can be run on the MFP. If you choose to Stop authentication, you will get a confirmation message before it stops, as shown here. Click OK.

Click on No MFP Authentication to restart authentication, and when you receive the confirmation message, click OK.

Note: To delete a active Authentication Device from the list, you must Stop the authentication relay, and then click on the delete icon in the Action column.



Using AU201-H Authentication Device with DocuBreeze

Once MFP Authentication is complete, the AU201-H device can be registered for use with DocuBreeze. Your registration options must include the check box to use the AU201-H! This means a registered proximity card can be used to access the MFP, instead of entering a login name and password on the MFP panel.

The AU201-H device needs to be attached to, and working, on the MFP. This may be set up by a technician using the Administrator Settings under the Utility Menu on the MFP Panel. For details, refer to the specific User Guide for the Konica Minolta MFP you are configuring.

When the device is attached and the MFP is relaying authentication information, you need to register each user's proximity card (once) so they can use it instead of logging in each time.

On the panel, at the DocuBreeze login page, enter the user login Name and Password. When these fields are filled in, you will get a Login button in the bottom right. Do not touch the login button if you want to register a card.

Instead, after entering the password, wave the user's card over the AU201-H authentication device. This should finish the login for the user and confirm that they are now logged in to DocuBreeze on the MFP.


Using an MFP with Authentication Enabled

When an MFP is running authentication set up by the bEST MFP Management option, some users may be restricted to certain MFP functions. These limitations are enforced on a Role, by use of the permissions enabled for the Role on the MFP Access tab under User Admin Privileges.

These permissions, on the tab shown above, include:

* Scan to USB is available on these MFPs: 361, 421, 501, 601, 751, c200, c203, 220, c280, c253, c353, c360, c451, c452, c550, c552, c650, and c652.

Mark the checkbox beside each function you want to give to any user assigned this Role

Note: To print a DocuBreeze Archive file from the MFP panel, you must have permission to print on the MFP. Login using your proximity card or via the web browser on the panel. Go to the Archive and find the file you want to print. Click on the Print icon and, as a requirement of the MFP engine, manually login again, at the panel, to print the file.
