Image Processing
Image Process Rules
- To begin an image process, click PROCESS >
IMAGE PROCESSING > NEW.
- This brings you to the Image Process Rule screen.
- Enter a Name and description of the Image Process Rule.
- Check the "Retain Original Indices" if you would like subsequent files,
spawned from this process, to be indexed the same as the original file. For
example, if this Image Process includes a split, the split files will have
the same index information as the original input file.
- Entries made on this screen are cumulatively called an image process.
- Do not click SAVE until you have made all the settings that
you want.
- The following links provide information on each different tab contained
in the “Image Process Rule” screen.
Summary
- The Summary Page will contain all information about the process you are
creating.
- All items will be shown as "Disabled" when you begin defining a new image
process.
- It is best to check the Summary after finishing all the tabs, and before
saving your Image Process Rule
Annotate
- The Annotation tab has five sub-tabs to enable text messages with your image
processed files.
- Font. Use this tab to select the font for your annotation. Choose
the Font, Size (Small Medium or Large), and Color.

- Annotation Prefix. Use this tab to insert a prefix for the annotation.
- Mark the Enable Annotation Prefix checkbox to turn on this feature.
- Mark the Enable Text checkbox and enter the text in the space provided.
- To include a numeric sequence, mark the checkbox and select the number
to start with and an amount to increment by.
- Using the radio buttons at the bottom of the tab, select the order in
which you want the text and sequence to appear.
- Choose the "separator" that will be printed between the text
and the sequence.

- Annotation Body. Use this tab to include a message to accompany
the file.
- Mark the Enable Annotation Body checkbox to turn on this feature.
- Mark the Enable Text checkbox and enter the text in the space provided.
- Choose the separator that will also come between each additional annotation
you select.
- Select additional annotations to be included. DocuBreeze will automatically
determine and include this data with your processed files.
IMPORTANT: TIF and PDF input files
do not support the "X Resolution" and "Y Resolution" properties. Please refrain
from using these selections if you expect TIF or PDF documents to use this image
annotation process.
- Annotation Suffix. Use this tab to include a suffix to the annotation.
- Mark the Enable Annotation Suffix checkbox to turn on this feature.
- Mark the Enable Text checkbox and enter the text in the space provided.
- To include a numeric sequence, mark the checkbox and select the number
to start with and an amount to increment by.
- Using the radio buttons at the bottom of the tab, select the order in
which you want the text and sequence to appear.
- Choose the "separator" that will be printed between the text
and the sequence.
- Location.
- Choose the location for the annotation. The Annotation will be placed
in the corresponding location on the processed page.
- You can review your information as it will appear on your file by viewing
the Annotation Summary (at the bottom of the screen).
IMPORTANT:
DocuBreeze saves the settings that you make from tab to tab. Complete the settings
in all tabs before clicking SAVE.
If you inadvertently save your settings before you are finished creating
the image process rule, you can edit the rule and include further settings.

File Conversion
- DocuBreeze automatically converts files to the format of your choice.
- Select the file type to be converted and then select the file type to which
the file(s) will be converted.
- If you are converting GIF, JPG or PNG to PDF format, you will be given options
to set the page size, orientation, and fit the image to the page (image proportions
are maintained).
- The Specified File Conversion box at the bottom of the Summary screen will
show the from and to conversions chosen.
IMPORTANT: Please note that if Annotate or Split
Image Processes are enabled, ALL TIF files will automatically be converted to
PDF format.
Rename
- DocuBreeze will Rename files according to your preference.
- Click Rename to enable this feature.
- You may choose a Prefix, Body and Suffix.
- Prefix. Select Text, Numeric Sequence, or both. If you select Text,
enter the text that you want included at the beginning of your file name.
If you select both, use the radio buttons to determine the sequence of the
Text and Numbers.
- Body. Choose whether to include the "old" file name, rename
or neither. If you want a new file name, enter the name in the space provided.
- Suffix. Select Text, Numeric Sequence, or both. If you select Text,
enter the text that you want to have included at the end of your file name.
If you select both, use the radio buttons to determine the sequence of the
Text and Numbers.
Order
The Image Process Order tab allows you to decide the order in which
the processes will be performed on the image.
Please Note that File Conversion
always occurs last!
1. Click on each tab and use the arrows to change the order in which they will
be performed. Remember that some of the functions do not work with PDF file
types, so choose your order carefully. This is the last image process tab to
fill out before reviewing the process using the Summary tab. Example:
If an OCR process is done first, and then you want to crop the image, this will
produce unfavorable results. Cropping cannot be done on either a PDF or a TXT
file, but the OCR process (which was run first) only outputs PDF or TXT files!
Now the files cannot be cropped.
2. Use the table below when determining the Order of your image processes, as
some of them are limited to specific file types.

Remember, do NOT click SAVE
until you have finished setting all of the tabs.
Image Size
- This tab enables you to crop and resize image files automatically according
to your settings.
- Cropping
- Cropping cuts your pictures within a set area to only show the portion
of the picture selected. Mark the Enable Crop checkbox to use this feature.
- Set the crop width and crop height, in pixels.
REFERENCE: The
pixel measurement varies according to your file settings. At 300 dots-per-inch
(dpi), a standard letter sized page 8.5” x 11” is 2550 pixels x
3300 pixels. At 72 dpi, the same page is 612 pixels by 792 pixels.
- Set the offset, in pixels. Offset from the x axis is the horizontal offset.
Offset from the y axis is vertical offset.
- Resizing
- Resizing changes the dimensions of your picture to make it bigger or
smaller. Keep in mind that your picture may be distorted or stretched.
Mark the Enable Resize checkbox to use this feature.
- The width and height entered here will be the processed size of the
file. After DocuBreeze processes this file, it will conform to the dimensions
entered . All values are in pixels.
- Scaling
- Scaling keeps the same aspect ratio of your picture but makes it bigger
or smaller according to a percentage, or scaling value.
- Enter a Percent of the Original Size for your processed image.

Contrast/Brightness
This tab enables you to adjust the contrast and brightness of your images to
produce the highest quality images possible.
- Contrast. Contrast refers to the difference between white and black.
Higher contrast has more difference which will enforce color separation, and
lower contrast has less difference, blending colors (or grays) into each other.
- Brightness. Brightness refers to the intensity of light shown on-screen.
Brighter colors appear more vibrant; less bright colors appear duller.
Split
This tab enables you to split files from one big file to separate smaller files.
Often, a multi-page document is scanned as one TIFF or PDF file. DocuBreeze
will split these pages into separate files.
- Check “Enable Split” to use this feature.
- Set the Number of Pages Per File. Each scanned file will be separated into
this number of pages.
Using an Image Process
- You can run an Imaging task, once you have created an Image Process
Rule.
- To create a new Task, select TASKS
> STANDARD TASK > NEW.
- Enter a Name and Description for the Imaging Task.
- Choose a Collection Group
or a Collection Point
from the list of those available.
- Choose a Process Type. When you choose a Process Type,
the Process drop down menu will be updated with all of the Process
Rules you have created. Choose a Process from this menu.
- Choose a Distribution
Group or a Distribution
Point from the list.
- Click SAVE to save the task.
- To schedule the task so it will run automatically, use the Scheduler.
Scheduler
- To schedule a task, select TASKS >
SCHEDULER > NEW.
- Choose the task that you want to runusing this schedule.
- Use the drop down menus in the Scheduling box to set the date and
time that you want the Task to begin running.
- Use the buttons in the Scheduling box to choose whether the task
will run continuously, a specified number of times, or custom.
If you choose to run it a specified number of times, you must enter that number
of times in the field provided.
If you choose custom, click DEFINE to enter values for recurrence, repetition,
and ending.
Click APPLY after making these
settings.
- Click SAVE to set the Scheduled
Task.
- The Imaging task will automatically be performed at the time specified.
- To run the task once, use a Quick Task.
QuickTask
- To create a QuickTask, select TASKS > QUICKTASK > NEW.
- To immediately run the Task that you just created, choose “Run Task.”
- Choose the Image Process Task from the drop down list.
- Click RUN.
