Bar Code Process Rules

To route files based on a Bar Code, you must first generate a bar code by using the Bar Code Process. Additionally, you can associate an Index you have created to the bar code process so that, not only will your files be routed, but they will also have an index associated to them for use when Searching for the files.

  1. Select PROCESS > BAR CODE PROCESS > NEW.

  1. This is the Bar Code Process screen where you create Bar Code routing rules.
  2. Enter a meaningful Name and an optional Description.
  3. Check the Retain Original Indices if you want new files spawned from the process to be indexed the same as the original file. For example, if this Bar Code Process splits a multiple-page document into individual files, the new files will have the same index information as the original input file. The Retain Original Indexes function for a generated Bar Code routing process will override the Retain Original Indexes selection for any underlying Imaging or OCR process.
  4. Enter an Expiration date. This will be the date after which this bar code process will no longer be executed. You can leave this field blank to leave the process running for an indefinite amount of time and delete it manually with the Edit Bar Code Process feature.
  5. Select the Bar Code type from the drop down menu. The bar code type you choose depends on the format you want; such as Code 39 (3 of 9, the most popular industrial bar code) or Code 128 (newer than Code 3 of 9, this one can make use of all 128 ASCII characters and can be coded as Code 39).
    Note: The choice of Code 3 of 9 versus code 128 has no affect on Docubreeze functionality, however, you may change the type if there are problems detecting bar codes in Docubreeze.
  6. Choose the way you want the bar code (you are creating) to print.

  7. Choose whether or not to discard the bar code page. If you mark the check box, your bar code page is not included when you output your file (to a Distribution point), although it is used for indexing and routing purposes.

Note: Although DocuBreeze can read scanned bar codes at the default of 200 dpi on most printers, it is recommended that you set your MFP to 300 dpi when scanning bar coded files.

Index Association

When generating a new Bar Code Process, it is possible to associate one of your Indexes to the Bar Code Process, so that you can perform two functions when scanning in your files. To include an Index with a Bar Coded file, you must first have created at least one Index form to use. For information about establishing index forms, click here.

  1. Select whether to Index when running the Bar Code process.
  2. Choose an Index Form from the list.
  3. Choose Edit if you need to pre-populate any "Manual" Index fields.

  1. Once the Bar Code Process is saved, you must click on the "Generate" (icon on the left that looks like a small gear) to print out the new Bar Code Process page. Click GENERATE to generate the bar code page.

Supported File Types

*** Note: The DocuBreeze Bar Code Processor will only recognize JPEG and TIFF file formats. All other formats, such as GIF, PDF, etc., will be treated as non-bar-coded files. When scanning your bar coded documents, please be sure to select to scan them in as TIFF files.

***Note: DocuBreeze will honor instructions within a Bar Code over all other processes.


Using Bar Codes

Create a Task, then Schedule

  1. Now that you have your Bar Code routing defined, you can create a Task. The Task can scan your files and will then route them based on the bar code. A Bar Code Task can also include other processes, such as Moving and Imaging processes.
  2. Select a Collection Point or Group, making sure that the collection location has the Scan for BarCode checkbox enabled.
  3. Select a Process Type: Move, Image, OCR or Copy. These Process Types can only be used if they have Process Rules established.
  4. Note that the Process drop down menu automatically updates to include all of your established Process Rules.
  5. Certain process types, like Image Process and OCR, also require a Transport Type, if so, select either "Move" or "Copy."
  6. Your Bar Code routing process already identifies the Distribution Point or Group, so SAVE the Task.

Task > Scheduler

  1. To schedule a Bar Code process job, select TASKS> SCHEDULER > NEW.
  2. If Running it now, click Run and choose the Task from the drop-down menu.
  3. Use the drop down menus in the Scheduling box to set the date and time that you want the job to begin running.
  4. Use the buttons in the Scheduling box to choose whether the scanning for bar code will run continuously, only a specified number of times, or custom. If you choose to run a specified number of times, you must enter a number of times in the field provided. If you choose custom, click Define to enter values for recurrence, repetition and ending in the pop up menu. Click APPLY after making these settings.
  5. Click SAVE to set the job to run.
  6. The Bar Code job will automatically be performed at the time that you specified.
