These tasks include: moving and copying files, performing image manipulation, importing documents using optical character recognition, bar coding or scripting engines, archiving files and much more.
DocuBreeze can do all of these things automatically. It will gather files from virtually anywhere that they are stored and bring them to anywhere you want them to go. It’s a very powerful solution in an easy-to-use package.
DocuBreeze is customizable and comes in three forms, Standard Edition (SE), Advanced and Premier . A brief explanation of the three modes follows. Depending on your needs and on the DocuBreeze edition that you have installed, some features that you see explained in this manual may not apply to you. Conversely, as DocuBreeze is constantly being updated and improved, your version may contain new features not discussed in this manual. The premise behind DocuBreeze is not complicated. It takes files from a Collection location, Processes them, and delivers them to a Distribution location. It enables users to establish tasks so that DocuBreeze will perform them automatically. Before you can establish tasks, a system administrator or your authorized Konica Minolta representative must do some set up. This involves establishing user privileges, setting up devices on your local network, and possibly setting up your collection points and groups.
Most users do not need to worry about this kind of set up. For most users, using DocuBreeze involves creating a Task and setting a schedule to run that Task. This gives users the ability to easily perform complex tasks.
The following is a brief overview of the features of DocuBreeze that most users need to understand.
DocuBreeze collects files from, and distributes files to, a number of devices on your network. A system administrator should set these devices up so that DocuBreeze recognizes them.
Once these devices exist on your company’s network, all you need to do is fill out a simple form so that DocuBreeze recognizes them and knows where to find them. In this form, you can also give each device a unique name, description and set device-specific options.
DocuBreeze has the power to access most input, output and storage devices on your network.
After your devices are set up, you can Collect files from them. This means that if you have scanned a file to a mailbox on your Konica Minolta 7145, uploaded a file to an FTP site, placed a file in a folder on your desktop, etc., DocuBreeze will go and get that file for you. It can retrieve files from single collection points or groups of collection points. What it does with that file is up to you, and there are many options.
DocuBreeze can take files from anywhere you have them and put them virtually anywhere you want them.
DocuBreeze can move files from all sorts of locations to where you want them, including e-mail, print, archive, upload to the web, and more.
Once you have Collection and Distribution Points and/or Groups set up, you can tell DocuBreeze what to do to the files in-between. DocuBreeze can do more than move the files from one location to another automatically.
DocuBreeze not only gives you the power to perform processes integral to your business, it also gives you the power to automate processes so they are taken care of quickly and easily.
When the processes are set, you open one screen, and can combine any of the processes into a complex Task.
You can scan files on your Konica Minolta document system, add a bar code or bates stamp, index files based on a bar code, and archive to a file server. You can retrieve files from your company’s network, copy them to a folder on your desktop, print a hard copy and then e-mail them to your home account. You can change scanned files into dynamic, editable documents using optical character recognition, e-mail these files to an entire distribution list with personal annotation, and index the files according to customizable index information.
In short, DocuBreeze is an incredibly powerful automation tool. You can schedule all these tasks so that they run automatically without any action from you. DocuBreeze can perform complex combinations of processes easily and automatically, moving files between sources and destinations while performing intricate, powerful processes in one seamless motion.
